Troika is looking for an experienced, personable, pro-active team member who will be responsible for General Studio Administration, Financial Administration and Logistics. Experience in arts and office administration is beneficial.

The work premises, part studio part fabrication workshop, are located in East London just off Kingsland Road. Usually there are 5-10 people working at the studio including the artists, artist assistants, architects, fabrication specialists and the studio manager.

We are looking for a personable, pro-active team member with an enthusiasm for all things organisational to join Troika for several years to come.

The role is based on a pro rata salary for 4 days a week.
The role will require 2 days financial administration, including communication with the accountant. Experience in accountancy or bookkeeping is not essential but knowledge of bookkeeping is beneficial. A keen interest to learn and master all aspects of financial administration is a must.

REQUIREMENTS
- Must be able to take a methodical approach to all aspects of the role within a fast paced and creative environment
- Should take a proactive approach in streamlining systems
- Excellent communication skills
- Excellent organisational and problem solving skills with the ability to handle rapidly changing schedules and shifting work priorities
- Excellent understanding of Microsoft/iWorks software packages (such as excel/numbers, word/pages, powerpoint/keynote)
- An interest in the arts is important but experience within the industry is not essential

KEY TASKS
Financial Administration
This will take up approximately 2 days of the week.
- Prepare and submit expenses and transaction information on a weekly basis for the accountant
- Ensure expenses are billed correctly
- Raise invoices and chase outstanding invoices on a weekly basis
- Liaise with accountants; assist accountant with book-keeping (Quickbooks based)
- Ensure financial procedures are followed by everyone in studio
- Ensure books are balanced on a weekly basis

General Studio Administration

- Make sure studio supplies are ordered in
- Review service providers of utilities when needed
- Deal with all incoming / outgoing post
- Organise Studio meetings
- Adhoc administrative tasks


Logistics
- Deal with all logistics for studio. This includes all shipping of artworks to and from the studio
- Liaise with institutions in regards to loans of artworks
- Manage the online artwork archive and ensure that all artwork details are updated and logged correctly.
- Issue consignment and loan agreements for galleries and institutions


HR
- Organise interviews
- Ensure contracts are issued using existing templates
- Keep on top of review dates, start and end dates of contracts
- Introducing and welcoming new starters to Troika

Reception / Front of house
- Maintain a well-presented and welcoming studio and brief team accordingly
- Deal with all incoming calls

Personal Assistant
- Travel booking
- Diary management
