You will value this opportunity of working with a wide variety of specialists and stakeholders inside IWM, across the UK and internationally and you will provide excellent customer service through your diligence, attention to detail and friendly manner. You will enjoy the problem-solving nature of loans activity and will have transferable experience of managing your own work, negotiating with others and achieving positive outcomes for everyone, even if you do not yet have direct experience of registrarial work.

You will work in the Registry team under supportive and tailored supervision and manage your own portfolio of loan transactions. Under the Head of Registry, the team works together in an environment of collaboration and knowledge sharing to:

• Manage all current loans out. This includes internal arrangements (managing conservation, photography, packing and transport arrangements, maintaining relevant budget information) and external (borrower liaison, cost recovery, facilities reports, risk management, insurance and indemnity, and liaison with transport agents and the Museums Security Adviser).

• Manage all current loans in, for long term displays and short term exhibitions. A member of the team is embedded in every IWM exhibition project to coordinate internal arrangements (managing conservation, photography, packing and transport arrangements, maintaining relevant budget information) and external (lender liaison, facilities reports, risk management, insurance/ indemnity and GIS compliance, and liaison with transport agents and the Museums Security Adviser).

• Manage all long loans in and out to the point where they are all on active loan agreements, reduced to the core number essential to IWM’s business needs, covered by appropriate insurance/ indemnity and condition reported and photographed.

• Be the first point of contact for IWM staff on registrarial issues such as due diligence, immunity against seizure and legal ownership.

You will support and facilitate public access to our collection, expertise and knowledge and you will develop, partake in and produce accessible material and activities aimed at engaging, informing, educating and enthusing our audiences and potential audiences in the collection and our subject matter, and mission.

In addition, your duties will include managing your own portfolio of current loans in and out and long loans:

Current loans out

1. Liaising with borrowers on the practical arrangements for each loan, including confirming approval of loans, clarifying object lists, collecting and evaluating facility information, confirming security arrangements, negotiating display plans, drawing up the Loan Agreement, and making insurance/ indemnity and transport arrangements.

2. Communicating with external parties (the borrower, transport agents, the Museums Security Adviser and insurance/ indemnity providers).

3. Managing the conservation, photography, packing and transport arrangements for items with IWM colleagues.

4. Maintaining relevant budget information and cost recovery.

5. Checking UKRG Facilities Reports.

11. Reducing the overall number of loans through returns or conversion.

12. Communicating with internal and external stakeholders.

13. Ensuring that all loans are covered by appropriate insurance/ indemnity and condition reported and photographed.

You will sometimes be required to work outside normal working hours to ensure efficient and timely supervision of entry and exit.
