Following on from a major change programme, IWM is setting up a new project office to deliver small and medium sized business change projects. The team will work to ensure that IWM delivers projects and an overall programme that meet the expected business benefits, delivering to a high standard, on time, budget and specification. The team will ensure that the transition from project to business as usual is well managed and that change is properly embedded through the delivery of each project.

Each Project Manager will work collaboratively across the whole of IWM on a portfolio of projects, using the IWM project management approach and ensuring that all projects are correctly defined, resourced and managed, have good overall governance and deliver good value for money. The Project Manager will contribute to the museum-wide strategic planning process and will be able to identify and understand the dependencies across the museum. The objectives of the team will be clearly identified through the annual planning process.

This post will provide leadership on specific project work using a thorough and well-planned resource management approach. Excellent stakeholder management skills and demonstrable project management experience are essential to this role.

This role can be based at any IWM site with the understanding that the role will require frequent travel to London branches, Manchester and Duxford.

Key Duties

You will be expected to work independently as well as across different teams in order to contribute to and deliver the priorities of IWM - using your knowledge, skills, talent and potential to the best of your ability.

You will focus at all times on delivering excellent customer service, ensure value for money at all times while being professional, courteous and demonstrating the behaviours and attributes expected of all IWM employees. You will also adhere to all corporate standards, and use corporate systems as directed to ensure consistency of service, brand and operational standards.

You will drive the delivery and development of all services within your department, and contribute to the development of other areas as required.

You will play a key role and take responsibility for the development of corporate and departmental strategy and initiatives.

You should be able to lead, manage and motivate your staff, partners and, where relevant, volunteers in order to get the best out of them.

To identify and implement learning and development needs of both yourself and your team.

In addition, your duties will include:

1. Assist the Assistant Director of Strategy and Planning with strategic planning across IWM and to keep a strategic overview of project activity

2. Lead and project manage individual corporate projects as set out in the IWM Corporate Plan and using IWM project management methodology including:

 Preparing the business case for change and other project initiation documents, project briefs, schedules and budgets

 Developing robust project costing and resource plans

 Ensuring that all projects are delivered on-time, within scope and within budget

 Assisting in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility

 Building and leading project teams made up of staff from across IWM and external consultants as required

 Managing procurement and budgets in line with IWM procedures

 Compiling and managing contracts for external advisors, contributors, freelancers and partners

 Ensuring resource availability and allocation - coordinating internal resources and third parties/vendors for the flawless execution of projects

 Liaising with stakeholders from within IWM and externally to ensure their input at appropriate stages

 Ensuring that the necessary internal approvals are sought, gained and implemented

 Developing a detailed project plan to monitor and track progress

 Managing any proposed changes to the project scope, project schedule, and project costs using appropriate verification techniques

 Identifying, tracking and managing dependencies and conflicts between projects

 Identifying project benefits and measuring project performance using appropriate tools and techniques

 Reporting and escalating to management as needed

 Performing risk management to minimize project risks

 Creating and maintaining comprehensive project documentation

3. Deputise for the Assistant Director of Strategy and Planning internally and externally as appropriate and where required.

General responsibilities

5. Follow and encourage an entrepreneurial approach, proactively seeking and actioning ideas which help IWM achieve its overall purpose, objectives, strategy and vision

6. To keep up to date with changing technology to assist more efficient and effective working

7. Be security conscious, ensure familiarity and co-operation with all museum security procedures

8. Work actively to reduce the museum’s impact on the environment and minimise running costs in all areas

9. Ensure familiarity with all of the Museum's health and safety policies and procedures
