Marketing Assistant

This is a creative and administrative role supporting the Marketing Director to optimise vital revenue streams and increase the profile of Britten Sinfonia. This role encompasses marketing communications, marketing analysis, and supporting the development of the e-marketing, digital and social media strategy.
Role and Responsibilities - Marketing
Assisting the delivery of Britten Sinfonia's marketing strategy by working on marketing initiatives and PR opportunities to support the Britten Sinfonia brand and range of activities. Contacting guest artists and/or their agents to source up-to-date publicity materials including biographies, photos, logos and programme notes

Liaising with and distributing marketing materials to promoters, including biographies, photos, programme notes, personnel lists and complimentary ticket requests. Arranging any Front of House requirements at engagements. Updating, maintaining and monitoring all online concert listings with third party websites
Assisting the Marketing Director on the production and co-ordination of print publications including writing copy, sourcing imagery and proof-reading. Maintain an archive of seasons print, programmes and third party publications which include Britten Sinfonia. Working on campaigns with the Marketing Director including writing direct mail letters Organising leaflet and poster distribution for own-promoted concerts, including communications with distribution companies and maintaining a regular timetable for self-distribution. Working with Durrants press monitoring agency and ensuring press clippings archive is kept updated. Assisting the Marketing Director to actively help implement market research programme which will inform Britten Sinfonia activity and offer a greater understanding of audiences Maintaining and analysing Britten Sinfonia's databases and ensuring all records are kept up to date and in compliance with the Data Protection Act.

Monitor ticket sales for own-promoted concerts keeping sales analysis spreadsheet up to date. Attendance at Britten Sinfonia own-promoted concerts, including organising and setting up front of house arrangements including banners, print displays and CD sales. Coordinate stewards and staff in attendance and assign roles. Arrange pre-concert and post-concert briefings. Complimentary tickets - monitor levels of comps and coordinate VIP seating and tickets with box offices. Keep up to date on current arts marketing practice to ensure Britten Sinfonia remains a leader in its field including attendance at training courses and network meetings as appropriate.

Website & Digital
Developing and delivering a digital strategy with the Marketing Director to ensure that Britten Sinfonia remains at the forefront in the application of digital techniques and technologies. Taking responsibility for the day to day update of the website using the content management system Analysing the usage of Britten Sinfonia's website and effectiveness of other digital platforms on a month- by-month basis.

Responsibility for e-marketing initiatives and regular e-newsletter communications, including copy-writing and compiling Responsibility for maintaining Britten Sinfonia's presence on social networking sites e.g. Facebook, Myspace, Twitter, YouTube, Flickr, Britten Sinfonia Blog
Working with Creative Learning Director, Marketing Director and other colleagues to generate content to be used on the website and the above sites. Monitoring general enquiries by website/phone and actioning as appropriate


Administration

General
Answering telephones, taking messages and greeting guests. Responsibility for general upkeep of shared areas e.g. meeting room, library, kitchen and store room Ordering and storing stationery and buying other office items as necessary. Maintain CD stocks, ordering more when required. Represent Britten Sinfonia with external stakeholders and the wider arts community, building constructive relationships to further the work of Britten Sinfonia.

Ensure that all marketing activity complies with the Institute of Marketing Codes of Conduct Contribute to organisational effectiveness through positive and proactive team-working Have a flexible approach to working hours, in line with Britten Sinfonia organisation policies and 'Time Off In Lieu' policies Represent Britten Sinfonia in a public-facing capacity Undertake any other duties that may reasonably be requested by the Marketing Director or Chief Executive

PERSON SPECIFICATION
Qualifications and Education Requirements
Candidates should be educated to Degree Level
Chartered Institute of Marketing - Desirable but not essential

Relevant Experience
Previous experience of working in marketing is desirable, although training will be given to the right candidate

Special Attributes - Desirable
A passion for the arts Experience of digital communications including social media Knowledge of CRM database (Raisers Edge, Patronmai) Knowledge of website CMS systems and basic HTML and picture editing software

Personal Skill Level - Essential
Financially Literate Competence in Microsoft Office, especially Word, Outlook and Excel The ability to write creatively and to a wide range of stakeholders Communicate to a variety of audiences Write marketing correspondence, copy for the website, and project reports Time management and organisational skills Proof Reading abilities Driving Licence

Disposition
Work positively and proactively within a small and busy team Demonstrate the drive and determination to succeed Consistently work to the highest standards, with a close attention to detail

Circumstances
Must be available to work at events, sometimes outside normal office hours
